Criminal Record Checks


All SCPP Practising and Non-Practising members and new registrants (including out-of-province interns) are required to provide a Criminal Record Check (CRC) to meet the requirements of SCPP Bylaws and Criminal Record Check policy.

The type of CRC required by SCPP is the Enhanced Police Information Check (E-PIC), completed through Sterling Backcheck. Members and candidates for membership with SCPP must complete an E-PIC to meet the CRC requirement for licensure, with some exceptions.

Please refer to the chart below to determine where and how you should obtain your E-PIC/CRC prior to completing an E-PIC.

 

Do you currently reside in Canada and do not have charges/convictions that you are aware of on record? If yes, use this Sterling Backcheck link to obtain your E-PIC.
Have you been selected to complete a new E-PIC as part of the annual random CRC audit process, you currently reside in Canada, and do not have charges/convictions on record? If yes, use this Sterling Backcheck link to obtain your E-PIC.
Do you currently reside outside of Canada? If yes, contact the SCPP registrations department.
Do you have charges/convictions on record or are uncertain of your criminal record history? If yes, contact the SCPP registrations department.
Have you completed an E-PIC within the last six (6) months? If yes, contact the SCPP registrations department.

 

New Charges/Convictions on Record

SCPP members are reminded that all new charges/convictions must be reported to the College within 30 days of receiving them. Do not wait for licence renewal. Any offences or violations of the Criminal Code of Canada, Controlled Drugs and Substances Act, and any provincial or municipal offences must be reported as soon as reasonably possible. Traffic Safety Act offences (bylaw infractions, speeding tickets, etc.) do not require reporting. If you are unclear if you need to make a report, contact the Deputy Registrar.

Failure to report a new charge or criminal conviction could result in disciplinary action that could include the revocation of a member’s licence or the denial of a practising licence to a candidate for membership.

New charges/convictions may be reported in confidence to the Deputy Registrar.

Annual CRC Audit Process

During the 2022-23 licence renewal, SCPP began the annual criminal record check auditing process. The  Criminal Record Check Policy Statement and FAQs states “SCPP will require 10 per cent of the membership to submit a new E-PIC on an annual basis, with each member presenting a new E-PIC once every 10 years…”

This means that 10 per cent of the membership who completed their initial Enhanced Police Information Check (E-PIC) more than six months ago will be required to complete another E-PIC using the designated provider, Sterling Backcheck. The 10 per cent will be chosen at random through an automated process and will be contacted individually via email. Compliance with the request to submit a new E-PIC is required as a condition of licensure and if you are selected for audit, you must complete a new E-PIC prior to renewing your licence. Once you have completed an audit, you will be exempt from the audit process for 10 years.

 

 

  1. Refer to the Sterling Backcheck applicant guide here for instructions to complete your check.

    Note: A check conducted through another source or without using the SCPP specific landing page of the Sterling Backcheck website will not be accepted.
  2. You must obtain the E-PIC from Sterling Backcheck via this link. You will need:
    1. Identification;
    2. Addresses where you have resided in the past five (5) years; and
    3. Details of any charges or convictions you have.
  3. Upon completion of your E-PIC you will receive email notification from admin@MyBackCheck.com that your criminal record check is complete and will contain your results.
  4. Within one (1) business day of receiving a "clear" result, you will receive a second email from support@mybackcheck.com with a certificate serial number and instructions on how to access your official police certificate. The certificate will be titled “Canadian Criminal Record and Judicial Matters Check” and is the only certificate accepted by SCPP. The certificate looks like the image to the right (click to enlarge). Only those with “clear” E-PIC results will receive the police certificate.

NOTE: Only an E-PIC result of “clear” will come with an official police certificate. Members/candidates who receive any other E-PIC result (i.e. “not clear,” “unable to complete,” “defer”) should contact the SCPP registrations department.

 

  1. Once you have received your official police certificate, log in to your SCPP member portal.
  2. Under Applications on your MEMBERHOME, you will find the Criminal Record Check application form.
  3. Fill out the required information in the SCPP CRC Form and upload the official certificate you downloaded from the second email from Sterling Backcheck.
  4. Once complete, expect a confirmation email from SCPP.

Note: You must upload your official certificate on your member portal. Sterling Backcheck does not notify SCPP you have completed your E-PIC and does not upload the required documentation on your behalf. It is your responsibility, as the member, to ensure you upload the correct certificate into the form on your member profile.

NOT CLEAR, UNABLE TO COMPLETE, or DEFER E-PIC Results

In the event you receive a result of “NOT CLEAR,” “UNABLE TO COMPLETE,” or “DEFER” on your E-PIC, contact the SCPP Registrations Department.

Missing certificate or certificate not received Refer to the second email you would have received from support@mybackcheck.com for your certificate serial number. Check your junk mail folder if you did not receive this email.

Note: only those who received “clear” E-PIC results and completed the correct type of check would receive an official police certificate.

If you are unable to locate the certificate serial number, contact the Sterling applicant support line at 1-877-455-6730. Note: You will be asked a series of questions to verify your identity prior to providing you with the serial number of your certificate.

Once you have your certificate serial number visit backcheck.net/authenticate/ to download a new copy of the certificate.
Your invitation to complete your check has expired Simply visit the SCPP Sterling Backcheck landing page and complete your criminal record check.
You have forgotten your Sterling Backcheck login details Contact the Sterling applicant support line at 1-877-455-6730 to reset your email/password.
You are a member residing outside of Canada Contact the SCPP Registrations department at scppregistration@saskpharm.ca or call 306-584-2292.
Your check, or part of it, is "not clear" or "defer" or "unable to complete" Contact the SCPP Registrations department at: scppregistration@saskpharm.ca or call 306-584-2292.
You are unable to verify your identity through  Sterling Backcheck's process You will be referred to a Canada Post postal office where a member of their staff is authorized to verify your identity using your government issued photo ID. 

If you are unable to complete this process of identification verification through Canada Post, please contact the SCPP Registrations department at scppregistration@saskpharm.ca or call 306-584-2292.
You notice there is inaccurate information noted in your E-PIC You have 30 days to correct the inaccuracies with Sterling Backcheck before you will be required to complete the process over again (with the applicable fee). Contact the Sterling applicant support line at 1-877-455-6730 for assistance.
You are concerned about your privacy with the process of obtaining an E-PIC through Sterling Backcheck Sterling Backcheck serves government agencies, major retailers, banks, and tech companies who have the highest standards for protecting personal information. SCPP Staff adhere to SCPP Privacy Policies in the receipt and handling of all criminal record check and member information.
Incorrect certificate submitted Registrations Staff will contact you via email if you have uploaded the wrong document..
Document blurry or unreadable The best method for uploading your results to your member profile is as a PDF. Photos, scans, JPGs, PNGs or any other non-PDF formats may not be clear enough for Registrations Staff to be able to verify the authenticity of the E-PIC. Registrations staff will contact you via email if your certificate is unacceptable.
Incorrect type of check completed Unless you are a member/candidate residing outside of Canada or have known convictions or charges on record, the only accepted CRC is the E-PIC via the SCPP-Sterling Backcheck special landing page linked on the SCPP website and all correspondence sent. Completing a CRC through another source or without using the SCPP-specific landing page of the Sterling Backcheck website will not be accepted.

You will be contacted if you have uploaded the wrong type of CRC to your member portal and will be required to obtain the correct one with the applicable fee.
